Refund & Cancellation Policy

Effective date: 3 September 2026

This policy explains what happens to money you have paid SyncingBeam (“SyncingBeam”, “we”, “us”) when a subscription ends, is cancelled, or goes wrong. It forms part of the Terms of Service and uses the same defined terms. Plain-English headings are for readability; where this page and the Agreement could be read differently, the Agreement governs.

SyncingBeam is sold to businesses. Most of what follows turns on that, so section 4 sets out what it means for the consumer right of withdrawal, and section 5 sets out the one case where it does not apply.

1. What this policy covers

It covers subscription fees for the SyncingBeam cloud service, paid by the Customer under an order form or a plan selected in the product. It does not cover anything you pay a third party: Google, and any other platform a connector links to, bills you directly under its own terms, and we can neither refund nor recover those charges.

Published price points are deferred while early partners onboard, so a Customer's fees are whatever its own order form states. Nothing on this page implies a plan or a price that has not been agreed in writing with that Customer.

2. Fees are non-refundable

The default is the one stated in terms §7: fees are non-refundable, except where this policy, the Agreement, or applicable law says otherwise. In particular:

  • Cancelling part-way through a paid period does not produce a refund of that period. Access continues to the end of the period you have paid for, and the subscription then stops renewing.
  • Not using the service, or using less of it than you expected, is not a ground for a refund. Neither is a change in your own business circumstances.
  • Fees already due for an elapsed period remain payable on termination, whoever terminated and for whatever reason.
  • Where a connected platform changes, degrades, or withdraws its API, the consequences are governed by terms §3: your remedy is termination under §8, and section 3 below then decides the money.

3. When we do refund

There are three cases, and we apply them without requiring you to argue for them:

  • You terminate for our uncured material breach. If you terminate under terms §8 because we materially breached the Agreement and did not cure it within 30 days of your notice, we refund the fees you have prepaid for the part of the subscription period that had not yet run, calculated pro rata to the day termination takes effect. This is the “except where this Agreement says otherwise” carve-out in §7, and it is the reason this page exists as a document you can point at.
  • Permanent unavailability caused by a platform. If third-party conduct makes the service permanently unusable for you and you terminate on that basis under terms §8, the same pro-rata refund of the unused prepaid period applies. We do not refund fees for periods in which the service worked.
  • Billing errors. If we charge you the wrong amount, charge you twice, or keep charging after a cancellation took effect, we refund the difference in full. Tell us within 90 days of the charge and we will not ask you to justify the request; after that we will still look, and we will still fix a clear error of ours.

We do not refund for termination that we initiate because of your material breach, and we do not refund fees for a period during which the service was suspended under §6 for a reason attributable to you.

4. The consumer right of withdrawal

EU consumer law gives a consumer 14 days to withdraw from a distance contract without giving a reason (Directive 2011/83/EU; Italy: Codice del Consumo, art. 52). A consumer is a natural person acting outside their trade, business, craft, or profession.

SyncingBeam is an agency tool. A Customer subscribing in the course of its business is not a consumer, so no right of withdrawal arises and section 2 governs. We say this plainly rather than leaving it implied, because the opposite assumption is the common one.

5. If you are in fact a consumer

A sole trader or freelancer buying for genuinely mixed or personal purposes may still qualify as a consumer under national law. If you do, the 14-day right applies and nothing on this page limits it. Write to [email protected] within 14 days of the contract being concluded, in any clear wording, and we refund what you paid within 14 days of receiving the notice, by the same payment method you used.

One qualification the Directive itself makes: if you ask us to begin supplying the service during the withdrawal period and then withdraw, you owe a proportionate amount for what was supplied before you withdrew. We will not treat starting your first sync as a waiver of the right itself.

6. How to cancel

Cancellation is not self-service today, in the same way that disconnection and deletion are not: SyncingBeam has no in-product cancel or workspace-delete control, so we action a written request from an authorised workspace administrator. To cancel, email [email protected] from an address that administers the workspace. We confirm in writing, tell you the date access ends, and state what, if anything, is refundable under section 3.

Cancelling ends the subscription. It is not the same as asking us to delete your data: what happens to the data, and when, is set out in Privacy Policy §5 and the Data Processing Agreement. You can ask for both in the same email, and we recommend you do.

7. How a refund is paid

Refunds go back to the original payment method, in the original currency, and we do not charge a fee for making one. We aim to issue an approved refund within 14 days of agreeing it; how long it then takes to appear is your bank or card issuer's business, not ours. Taxes are refunded with the fee where the applicable tax rules allow it to be adjusted.

If you dispute a charge with your bank rather than with us, we will answer the dispute with the same facts we would have given you directly. We would rather you wrote to us first: it is faster, and a chargeback can suspend the account while it is open.

8. Asking for a refund, and complaining if we say no

Email [email protected] with the workspace name, the charge, and what you think went wrong. We answer within 10 working days, and if we decline we say which part of this policy or of the Agreement we are relying on, so you can check the reasoning rather than take it on trust.

Nothing here limits any right you have that cannot be limited by contract, including your right to bring a claim before the competent courts under terms §15.

9. Changes to this policy

We may update this page prospectively. A change that reduces what is refundable takes effect for an existing Customer at its next renewal or 30 days after notice, whichever is later, on the same footing as a change to the Agreement itself. The then-current version is always published at syncingbeam.app/refunds.
